1. Who we are

NIKOVA (the NIKOVA app, the NIKOVA glasses rental and the website nikova.ai, together the “Service”) is operated by TRIZAISTRA Technology LLC, 5900 Balcones Dr Ste 100, Austin, TX 78731-4298, United States, represented by Hrishi Nayar, CEO & President (“we”, “us”). We are responsible for the personal data described in this policy.

Questions or requests about your data: nnltechteam@trizaistratech.com.

2. Summary

  • We collect what we need to run your account, your glasses rental, payments and the AI assistant.
  • Card numbers go straight to our payment provider, Stripe. We never see or store them.
  • Your voice is processed to understand you but is not recorded or stored. What you say and the assistant’s replies are saved as text, as your conversation history.
  • The assistant can remember things about you to be more helpful. You can ask it to forget them.
  • We do not sell your personal data and do not use it for advertising.

3. What we collect

Your account

Your email address, first and last name, and your password (stored only as a one-way hash, never in readable form). We also keep the verification and password-reset codes we email you, in hashed form, and your language settings (for example English and Japanese) and time zone.

Bookings and rentals

Your trip (arrival city, arrival date and time, departure date), the pickup point and time you choose, your rental plan and price, your pickup code, the glasses unit you received (including its device ID), and the times the glasses were collected and returned. If you report a missing item at pickup, we keep that report.

If you return the glasses by post, we keep the postal address you give us for the prepaid envelope, the condition you report, and the photo you take of the glasses before posting. The photo is kept privately on our server and is only seen by our staff.

Payments

Payments are handled by Stripe. You enter your card on Stripe’s own payment screen, so your card number never reaches our servers. We keep Stripe’s reference numbers for your payment, your saved card and any refunds, the amounts, and the time you agreed to let us charge your saved card later for a late or lost return (up to US$50). Stripe sends us payment notifications that we store as records; these may include limited card details such as the card brand and last four digits.

Using the AI assistant

  • Voice. When you talk to the assistant, your voice is streamed to a speech-recognition service to turn it into text. We do not record or store the audio.
  • Camera images. When you ask about something you are looking at, the image from the glasses is sent to an AI service to describe it. We do not store the image itself, but we do store the written description, which can include text that was visible in the image.
  • Conversation history. What you say (as text), the assistant’s replies, and the image descriptions are saved with the time and the languages used. You can see your recent chats in the app.
  • Memory. To give better answers, the assistant keeps a short summary about you and individual facts you share, either when you ask it to remember something or when it notices something useful. Examples: your name or nickname, your hotel, food preferences, allergies, birthdays, and people you mention. Places you visit may be noted with their location; these notes are removed after 60 days.
  • Location. When you use features such as directions, nearby places, transit or weather, the app sends your current location to our server. We use it to answer that request; we do not keep a location history apart from the visited-place notes described above.

Please don’t share sensitive information about yourself (for example health details) or about other people unless you want the assistant to remember it. Allergy information you share is used only to help you, for example when reading a menu.

Notifications and emails

If you allow notifications, we store your phone’s push-notification token (and whether it is iOS or Android) so we can send you return reminders. We remove it when you log out. We send emails for account verification, password resets and return reminders, and keep a record of which reminders were sent.

Technical data

Our servers record technical information about app requests, such as the IP address, device and app type (user agent), the feature used, the time and whether it worked. Our server logs may also contain short extracts of requests (for example a few words of what you asked) to help us fix problems. We use your IP address briefly to protect against abuse, for example to limit repeated login attempts.

This website

nikova.ai has no accounts, forms, advertising or analytics, and sets no tracking cookies. It remembers your language choice (English or Japanese) in your browser only. Its fonts are loaded from Google Fonts, so your browser connects to Google, which receives your IP address.

5. Who we share it with

We share personal data only with service providers that process it on our behalf to run the Service, or when the law requires it. They are:

HostingerHosting our servers and databaseAll data we store

We may also disclose data if required by law, to protect our rights or the safety of others, or as part of a merger or sale of our business (in which case this policy continues to apply).

6. International transfers

We are a US company and our providers are based mainly in the United States and the European Union (DeepL is in Germany). Your data is therefore processed outside Japan and outside your home country. Where required, we rely on safeguards such as the providers’ data-protection terms and the European Commission’s standard contractual clauses. Under Japan’s Act on the Protection of Personal Information, you can ask us for information about the countries involved, their data-protection systems and the measures our providers take.

7. How long we keep it

  • Account data: while your account is open, and deleted or anonymised when you ask us to close it.
  • Conversation history and memory: while your account is open, unless you ask us (or the assistant) to delete it sooner. Visited-place notes: 60 days.
  • Payment and rental records: as long as tax and accounting law requires (generally up to 7 years), even after your account is closed.
  • Return photos and envelope addresses: until the rental is settled and any dispute about it is resolved.
  • Push tokens: until you log out or the token stops working.
  • Technical data and server logs: for a limited period needed for security and troubleshooting.
  • Temporary caches (for example the current conversation): up to a few hours.

8. Your choices and rights

Depending on where you live, you have the right to ask us to: tell you what personal data we hold and give you a copy; correct it; delete it; stop or limit using it; send it to you or another service in a portable format; and to object to some uses. Where we rely on your consent, you can withdraw it at any time.

  • Forget memory: say “forget everything” to the assistant to delete your memory summary and remembered facts, or ask it to forget a specific thing.
  • Notifications: turn push notifications off in your phone’s settings. Return-reminder emails are part of the rental service.
  • Saved card: you can ask us to remove it once your rental is returned and any fees are settled.
  • Everything else: email nnltechteam@trizaistratech.com from the address on your account. We may need to confirm your identity, and we will reply within the time the law requires (usually within 30 days).

We can’t delete records we must keep by law, or while a rental or a charge is still open. If you are unhappy with how we handled your request, you can complain to your local data-protection authority (in Japan, the Personal Information Protection Commission).

9. How we protect it

Data is sent over encrypted connections (HTTPS). Passwords and one-time codes are stored only as hashes. Card numbers never reach our servers. Access to customer data is limited to staff who need it to run the Service, and our database is not reachable from the internet. No system is perfectly secure, but we will tell you and the authorities about a data breach where the law requires it.

10. Age

The Service is for people aged 18 or over. We do not knowingly collect data from anyone under 18. If you believe a minor has given us personal data, please contact us and we will delete it.

11. Other people and the camera

The glasses have a camera and microphones. A light shows when they are recording. Please respect the people around you and follow local rules. Images or speech of other people captured while you use the assistant are handled as described above: images are not stored, but their descriptions and conversation text are.

12. Changes to this policy

We may update this policy. We will change the date at the top, and if a change is significant we will tell you in the app or by email before it applies.
